Bill of Materials

Product

xTuple’s Product module includes Items, Bills of Materials and support for Standard, Actual and Average Costing. You have enormous flexibility in defining and describing your Items, including support for Aliases (what your customers or suppliers might call something), Substitutes, various types of Images suitable for online catalogs, pick lists, engineering diagrams, and more. There are Item Variants, with support for user-defined Options and Attributes, which allows you to build infinite variations on your standard finished goods. Bills of Materials, the basic definition of how a product is manufactured, can be as simple, or as complex, as you like (an infinite number of levels deep).

Manufacture

The Manufacture module is the heart of xTuple’s manufacturing execution and controls all orders, operations and work centers on the shop floor. There are several stages of Work Orders, including Open, Exploded (materials requirements issued and operations created), Released to the floor, In Process and Closed. Managers can control production schedules and priorities at all stages of the manufacturing process and can track variances in material usage and labor with precision. You can also maintain and modify Production Bills of Materials and Bills of Operations for maximum flexibility.

Foreign Currency Conversion

The multi-currency integration in xTuple ERP is comprehensive for our global customers.

  • Multi-currency supported in Costing, Purchasing, Accounts Payable, Sales, and Accounts Receivable.
  • All transactions processed in foreign Currencies are converted to the base Currency based on the Exchange Rate effective at the time of the transaction—and all transactions are then posted to the General Ledger in the base Currency.
  • Currency gains and losses are also posted to the General Ledger, using a Currency gain/loss Account.
  • Because the system tracks gains/losses, the impact of Currency fluctuations can be tracked throughout a transaction’s life cycle.

At the heart of Project Accounting is the concept of the “virtual” General Ledger (G/L) Account. With Project Accounting, virtual G/L Accounts are built dynamically or “on-the-fly” using a combination of existing G/L Account Numbers and the linked Project Name.

Transactions flowing from Project-related Sales Orders, Purchase Orders and Work Orders are generally supported by Project Accounting.

Purchase Order

In an ideal world, POs are sent out and the goods received without delay. However, it is often necessary to contact the vendor for an update. With xTuple POs, all required information is in one place, with a maintained record of correspondence with vendors for future reference.

  • The Purchase Order Progressing report allows the operator to see outstanding items grouped by vendor or PO Number and filtered by due date.
  • Operators can record progressing comments against the PO and view them the next time the vendor is contacted.
  • A right click on the list allows the operator to edit the PO if the due date needs to be updated or lines closed.

In short, the PO Progressing report provides everything an operator needs to contact vendors and ensure that all issues and delays have been taken into account by production, possibly giving the business time to solve issues before production is effected.

xTuple ERP is a good ERP/accounting solution with a number of advantages over traditional legacy systems. The system is platform independent (windows/mac/linux) and commercial/open source. There is a free community version which is very good for evaluation, testing and learning and will be sufficient for many small and medium sized companies. There are also premium enterprise solutions which handle advanced manufacturing and distribution for larger companies. I have been involved in a number of implementations, and the system performs very well.

The good: The program has a lot of powerful features, and a strong community. The software is open and follows industry standards. Since the program is open source, it can be installed and tested against your particular needs. There is good documentation available, and community forums for exchanging information about best practices etc. It is well localized for north american use, but also supports many other countries, languages, currencies etc.

The bad: The company has spent a lot of time and resources on developing a new infrastructure and architecture for the future. However, the benefits have not really been apparent to the community. I think that the project would have been better off if they had spent those resources on developing more features on the current, mature platform which works well. To their credit, I believe they have recognized this and are taking steps to make the current application client a first class citizen, during the transition which will take many years.
