Accounting

Accounting Module

The accounting module of DecisionWare offers a complete solution for your business.

A/R & AP: Linked to the customer records the A/R system manages all aspects of invoicing and collecting revenue, along with sophisticated reporting so that management can closely monitor aging. The A/P system is linked to the purchase order and order entry system, so that the all purchases can be allocated. There is a fully integrated checkbook for making payments.

The Payroll section is complete with everything you need to manage paying your employees, including payroll deductions for taxes, healthcare premiums, 401k savings, etc. The system can be used for direct deposit or checks; weekly, bi-weekly, twice monthly or monthly.

Our General Ledger system is robust and allows you to make business based adjustments as needed.

For management there is a wide range of reports to help you monitor every aspect of the financial health of your company.

Monthly financial statements can be generated, with full balance sheet and P & L detail (with prior year and YTD accumulation comparison reporting).

Customer Relationship Management Module

DecisionWare’s proprietary, fully-integrated CRM module connects your customer records to estimating and order activity, giving you and your sales team powerful tools to manage your sales pipeline.

The Module includes:

The CRM module has a Contact-Manager, Calendar, Task-List, Opportunities-Reminder, Reports and a Status-Dashboard; with live information driven in by the Estimating and Order Entry modules.

The Module has an administrator function for management - enabling views of all of the sales force’s activities.

Data Collection

Data Collection Module

The order entry and scheduling portion of DecisionWare is driven from real-time data entry.

The time taken by each employee, at each cost center, is entered through the ADC (Automated data Collection) terminals that are placed by each cost center (or near a group of cost centers).

DecisionWare updates every two minutes so that all entries update the scheduling system in real time.

The data that is collected also drives job costing and as it is in real time management can see the costs building against the job and review them against the estimated costs.

Variances and trends can easily be identified so that instant corrections can be made - keeping costs under control.

Estimating

Estimating Module

The estimating module of DecisionWare has two estimating system options:

  1. EZ Estimating – Set up for Sales & Customer Service to use. As the name eludes it is an easy to use system that allows users to create estimates in a matter of minutes. EZ is usable for 80% of all print estimating/production needs.
  2. CAE Estimating – Designed for an estimator to use. With a wide range of options the CAE estimating system is designed so that an estimator can build the most complex print projects.

Order Entry and Inventory

Order Entry & Inventory Module

Once a job is awarded, the need is to convert the order into a job ticket as quickly and as easily as possible, while requesting/ordering the materials needed and logging the order into the schedule so production can start to plan the best (leanest) manufacturing process.

The system takes the estimate and books it to a job, creating an electronic job ticket with a full manufacturing plan. The purchasing (PO) screen is updated with the material needs and production is alerted that a job is coming their way. The Sales rep receives an email confirming the order has been entered.

Once the order enters production “real-time” data is collected and costs vs. actual are compared. Production is given time driven goals on the job ticket so that they have targets and goals to complete.

DecisionWare works hand-in-hand with “Lean Manufacturing Philosophies” and processes so that our clients can maximize their production processes and profits.

If the order is coming through the online system, then depending upon the order type (POD, Inventory, or a reprint order) the job ticket or pick ticket is auto generated.

Bottom line our system looks to reduce human touch points and streamline the order process.
