Church Control Codes

The system provides for the use of your terms and descriptions throughout.

Control Codes allow you to define terms and descriptions in many areas of the system. These options are ‘popped up’ during data entry for selection.

Titles, attendance categories, billing cycles, contact teams, contact types, transfer-out methods, ethnic origins, financial groups, General Ledger system codes, activity involvements, joined methods, individual groups and sub-groups, marital status groups, phone types, and more can be described using the words and phrases of your choice.

During data entry, inquiry and reporting these words and phrases are displayed so you do not need to remember codes.

Church Library System

  • Complete library system supports multiple libraries for all ages.
  • Print book spines, index cards and lists selected from one or any of the fields of information about each item. Print bar codes to identify library items, and items may be checked in and out by scanning bar codes.
  • The parameters for managing the library are determined by the user to set past due fine amounts, allowable check out terms, etc. The system tracks borrowers from the Membership data files.
  • A Library Patron Lookup searches library items on-screen. This eliminates the need for catalog cards to lookup items, just as in a public library. Touch screen monitors are supported.
  • Library System includes barcode check in and check out, and touch-screen Library search.

Church Management

  • Music Records is a database of vital information about music records, whether sheet music, records, tapes, video, or disks.
  • More than 30 different pieces of information about each item can be tracked.
  • Reports and inquiries can be made on the basis of any or all pieces of information recorded, such as date acquired, title, dates last used, composer, arranger, editor, publisher, the publisher’s number, season, text author, media type, purpose, music file, degree of difficulty, scripture/text, copyright, hymn tune, meter, tempo, key/scale, voicing, solo part, a cappella, accompaniment, instruments, number of copies, slide copies, bell octaves, worship chorus, worship order, and comments.

Contact and Visitation Records

Maintain contact with people and prospects, and provide support for outreach and recruitment using the Contact features. Track an unlimited number of contacts and/or visits to individuals, and communicate with them in many ways.

  • Use “Quick Entry” to enter information, which is a part of the database of information about individuals and families tracked by the member records database.
  • Store, print, and view information about an unlimited number of contacts for each individual, and this information may be changed, deleted and viewed.
  • Print visitor attendance lists based upon number of times present or absent.

Data Entry Management

Shortcuts and unique features are designed into the system to provide fast data entry and editing. Wherever possible the system makes entries for you. Press the TAB or ENTER key to make default field entries. Telephone numbers, dates and zip codes are automatically formatted. The entry of a zip code enters the related city and state. The mouse can be used throughout the system, and icons can be accessed by either mouse or function key. Function keys are displayed on each icon so that during data entry the hand does not have to be moved to the mouse. Use “Go-To” to move directly from any application to any other application. Each application remains open so you can move back to each preceding application without losing entries. There are no delays for systems to load when moving to different applications. Use “lookup” data entry fields to display all the records for that field. When a lookup window is open, you can search for any text or partial text displayed. Data entry ‘modes’ provide two benefits. Security access can be assigned on the basis of mode (add, change, inquire, delete, print, etc.). The use of modes reduces data entry error since the user must determine which mode is in use. Mode of access can be changed instantly without leaving an application. Scanned entry can reduce data entry time by two-thirds or more and is used wherever possible.

Event and Equipment Scheduler

  • Room number, size of room, estimated attendees, allowance for set up and clean up time, and persons responsible are tracked. For facility rentals, users, fees, billing information, and automated mailings are provided.
  • The system checks for scheduling conflicts for equipment and facility use, and guards against double scheduling of either. The user can elect to allow double scheduling.
  • Janitorial reports can be printed to show, for each janitorial group, a schedule of events to prepare for, how to set up each location, and time allowed for set up and take down.
  • Events can be scheduled for single or extended times, on a regular or irregular basis. Extensive reporting capabilities are included.
  • A calendar that can be installed on the organization’s web site is included. One or more copies of the calendar can be installed for different uses. Events entered into the Scheduler can be automatically exported to the web calendar.
  • Track employee vacations and time-off and display composite employee calendars.
  • Send email notices to staff for event setup.

Integrated Email and Internet Applications

  • Export data files to Active Server Pages in MDB (Microsoft Database) format and sent by FTP (file transfer protocol) to the user’s Active Server Page or pages.
  • Active Server Pages are provided at no additional cost to enable people to send you updated personal information from your web site. * Another web page allows people to send enrollment information from your web site for RDS Advantage events and activities.
  • Send contribution reports to contributors by e-mail. The system prints a paper copy and address label for all contributors who do not have an e-mail address.
  • Click on an icon on the top toolbar to access the RDS Advantage web site. More than 40 pages of detailed information can be found on the RDS Advantage web site. A password protected client login on the web site provides access to tutorials for all systems, updates of the system, tax file updates.

Report Writer

  • RDS Advantage report writer is included in the system to generate customized, user-defined reports.
  • Reports generated by the report writer can be printed or exported in many different file formats, including ASCII, comma delimited (comma and/or comma-quote), MDB (Microsoft Database), Microsoft Word, and other user-defined file formats. You can use the Crystal Report Writer for customized reports.
  • The system is fully ODBC (open database connectivity) enabled, which permits access to the RDS Advantage database from third party applications (Word, Excel, Crystal, etc.), limited only by each user’s security access.
  • MergeRight programs automate the export of hundreds of fields of data from the database. Data can be exported in all popular file formats and used in other third party applications (Word, Excel, Access, etc.) to construct reports.

Reporting and Printing

Choose to print in either HP-PCL or API (PostScript) mode, or allow the system to automatically choose the method. Complete control is given to establish how forms will print. Set margins, pixel height and width, point size, form size, and other features for form printing. In API (PostScript) printing, control the weight of letters, point size, pixel size, margins, scale, and number of lines per page. Choose portrait and landscape printing. Choose Avery forms – print multiple copies of reports. In HP-PCL printing, each printer and each form can be customized for the number of characters per line, lines per page, and the point size of text for different numbers of characters per inch from 80 to 217. Choose portrait or landscape printing. Reports are printed in preview mode, prior to printing to paper. Preview of reports provides up and down and side to side scrolling, page forward and backward, and end of report and beginning of report. API previewed reports may be set to scale (zoom) larger or smaller. After previewing, choose to print or exit without printing. Report selections may be given a report name and saved, so that the report selections need not be made again in future printing. There can be an unlimited number of data selections for each report.During report preview, you can search for any text in a report.
