Real-Fusion is the culmination of years working in programming for the real estate industry. The product actual began in the 1970’s as computerization was in it’s infancy.

The first programs written were for accounting modules including General Ledger, Accounts Payable, Accounts Receivable and Payroll. Once these modules were in place industries like real estate became target markets but required special customization of the accounting modules as well as specific real estate modules to meet market demand.

The first real estate modules were written in the 1980’s. Listing management became the first module. Now there are approximately 20 different modules included in Real-Fusion.

All modules in Real-Fusion are completely integrated to eliminate double and triple entry of data.

Real-Fusion also will integrate with local MLS systems to eliminate additional data entry. There are over 3,000 programs running behind the screens in Real-Fusion. The system design was conceived by individuals who have not only programming experience, but over 30 years of experience in the real estate field. We know the business and we know software.

Real-Fusion Accounting

Real-Fusion’s Accounting System is one of the strongest features of Total Office Management. The accounting programs connect the office management system to create a very strong complete office package.

The accounting modules include General Ledger, Accounts Payable, Accounts Receivable, Generalized Subsidiary, Fixed Assets, Payroll, and several others. The accounting system as well as TOM are multi company functional. Simply put, the user can keep the books for several companies on the same system.

Because of the uniqueness of the real estate business, there are several situations which the accounting system must be able to handle. May times a transaction will close and two months later, the company is informed of a referral fee which was due. Most systems require journal entries for any of the necessary changes. If several agents were involved, multiple journal entries would have to be made. In TOM, the user can un-post a single transaction. If the current month is not closed, journal entries are made in the current month. If the current month is closed, the journal entries are made in the current month.

Another important feature of the system is an internal posting tracking system. In the event of a power failure or some other type of problem, the system “remembers” where it left off in the posting and starts up where it left off.

The accounting systems make TOM very powerful. Because some companies already have accounting, the accounting modules are not included in TOM. The modules can be added very easily to the system.

Real-Fusion Advertising

Real-Fusion’s Advertising Module is a comprehensive set of programs designed to manage the advertising process. The foundation for this module is the listing file where the information for each property is stored. The advertising file uses information from the listing file which has already been entered. This file is customized for your office with the fields and screen format you desire. This file is connected to many other files such as the agent master file where information on each agent is stored.

Once information on each advertisement is entered, there are many other programs to use. These include selecting properties to advertise, advertisement tracking, and printing ad copy.

The advertising system will automatically check the listing file to determine if a listing has expired prior to advertising. The system will also check to see if there is a pending contract for sale.

The system is simple to operate. The operator basically enters the ad copy only. No more do you have to enter addresses, sales prices, areas etc. The system has all that information from the listing module.

One of the unique features of the advertising module is the ability to have an agent show the property who is not the listing agent. Alternate listing agents may also be put in the ad copy if desired.

There are many different ad copy styles in the module. The operator may print ad copy in order by price, neighborhood, bedrooms, etc. Often times an agent desires to use the ad copy from one publication in another publication. With PSI’s advertising module, the operator simply moves the copy to the desired publication.

The Advertisement Summary and the Advertisement Tracking reports are basic to the system. These reports inform the reader when a property was advertised and in which publication.

Ad copy can also be sent directly over the phone line into the typesetting machine of your publisher.

Real-Fusion Agent Billing

Real-Fusion’s Agent Billing Module is a comprehensive set of programs designed to manage personnel billing and income. One of the most time consuming processes in the real estate office is keeping track of what each person/agent owes the company. There are also those re-occurring charges which have to be posted every month. This process is made simple with the Personnel Billing Module.

The foundation for this module in the personnel/agent file where the information for each person/agent is stored. This file is customized for your office with the fields and screen format you desire.

Each individual has a section in his/her file for re-occurring expenses. Once these amounts are entered, re-occurring expenses are posted with the touch of a single key.

The Personnel Billing System has also been customized for the 100% company. Monthly desk rent, secretarial service, and transaction fees are easily posted. There a number of reports available with the module. In addition to printing monthly statements, the operator can track expenses by type, date of charge, and many others.

The module is also connected to the listing and sold/pending files. This feature enables the operator to track expenses by property or contract. This module will also interface with accounting systems. PSI has a complete line of accounting systems available. In addition to General Ledger, Accounts Payable, and Accounts Receivable, there are modules for payroll, inventory accounting, purchase orders and many more.

Real-Fusion’s Personnel Billing Module will be customized for your particular company’s needs. The personnel billing module has multi-user and multi-tasking capabilities. Complete security at the system, terminal, and user levels provides the highest degree of protection for your data. The income module tracks an agents income in a variety of ways. Information from the Pending/Sold File transfers to this module. In addition, other types of income can be added to this file such as referral income. 1099’s can be printed from this file as well.

Real-Fusion Appointment Setting

Real-Fusion’s Appointment Setting Module for Multiple Brokers is specifically designed to reduce the number of calls coming into broker’s offices which reduces labor expense. The module also gets listing appointments set quicker and therefore sold quicker. The system also reduces the time required by listing agents to return phone calls which allows the agent to do more listing and selling.

This module allows calls from showing agents throughout a city to call one number to set appointments to show properties of other brokers. The showing agent often gets immediate verification of the showing date & time. The showing agent receives confirmation by either phone, fax or page.

The listing agent receives notification of the showing of one of their listings, who is showing the listing and the results of the showing. The agent will receive, at the end of the month, a report of all of their listings. These reports are very useful with the owner to indicate the effectiveness of the listing agent. This type of service is also a great listing tool.

The broker also receives a number of reports at the end of the month showing how many properties were shown, who showed them and the results of the showings. Most important to the broker is saving labor expense. By routing calls away from their office to the appointment office reduces the labor need to handle those calls and allows either the reduction of staff or redirection to other areas.

Brokers will also find the listing agent is most often willing to pay the broker for the service.

Real-Fusion Buyer Management

This module allows your agents to register their buyers including their agency relationship, where the buyer is moving from, dates of their agreement, etc. All records added to this module are automatically dated and time-stamped to insure accuracy.

This module connects to the Relocation/Referral Module to allow you to verify if the buyer is already working with an agent in your firm.

Real-Fusion Client Follow Up

Real-Fusion’s Client Follow-Up Module manages the client follow-up process. Our client follow-up system covers both the management side and the agent side. The management side of client follow-up provides the user the ability to pre-determine mailing dates for correspondence using the listing or closed date. There are a number of letters built into the system as well as surveys and twelve user defined mailing dates. The system will create mailing labels as well.

The agent side of client follow-up provides agents with a series of letters which can be mailed out by the agent. Agents are prevented from generating letters for individuals they did not represent.

An important feature of the client follow-up system is the ability to update buyer mailing addresses to the property address of the property purchased automatically after closing. This saves valuable time and therefor money.

This module also uses the sold/pending file to access important data such as the address of the property an individual purchased, the price, estimated closing date, listing, and selling commissions.

Real-Fusion Closing Service

One of the most time consuming jobs in a real estate company is the tracking of the closing process once a contract for purchase is accepted. Real-Fusion’s Closing Service Module will allow the tracking of the closings as a separate function from the financial side of the transaction.

Central to the Closing Module is the Closing File which is connected to both the Listing and Pending Files. The Closing File contains information which is relevant to the closing department such as the date an appraisal was ordered and received. There are a large number of fields to track inspections ordered, payoffs ordered, etc.

Master files can be set up for attorneys, appraisers, lenders, title companies, inspectors, etc. Once these files are set up, requests letters for inspections or services can be faxed from the system.

The Closing Services module will make tracking the closing of contracts easier for your company. The connection with the Listing & Pending files will eliminate double entry and increase efficiency.

Tickler dates can be set for each closer in the office to remind them of the different tasks which need to be accomplished for each file the closer is working with. Letters can be automatically generated depending on company requirements.

Real-Fusion Concierge Services

This module tracks services offered to your buyers and sellers. The system orders services, requests bids, and does billing to your service providers.

In the event a service is refused to a buyer or seller, the system will track the reason for the refusal and produce reports as necessary.

Membership cards can be printed for your buyers and sellers with their membership number to make the ordering of services easier.

Real-Fusion Developments

This module will allow you to track the developments in which you are selling homes. The module is most often used in conjunction with a “New Homes Division”.

The development Module connects to the listing and Sold/Pending modules to allow statistic reports on transactions where a development is involved.

Real-Fusion Listing Management

Real-Fusion’s Listing Module is a comprehensive set of programs designed to manage the listing process. The foundation for this module is the listing file where the information for each property is stored. This file is customized for your office with the fields and screen format you desire. This file is connected to many other files such as the agent master file where information on each agent is stored.

Once information on each listing is entered we can then use many other programs. These include the call desk system which agents use to retrieve information on listings. The call desk system is also customized to let your management team determine what information agents can access. The call desk system can also track dates and times of calls, track the agent at the call desk, and generate several reports.

Appointment scheduling is another important part of the listing module. This system allows the operator to set appointments for co-broker agents desiring to show one of your listings. The system keeps track of date and time of the call automatically. The operator determines the desired date and time of the showing, confirms this with the owner, and tracks the showing agent and listing agent. This system will produce fax confirmation sheets to verify the showing with the showing agent. The system will also produce call logs and showing follow-up sheets.

Reports are a very important part of this system. There are a large number of reports in the listing module. Several formats of active, pending, MLS format, and miscellaneous reports can be printed.

Active Reports by address, price, agent, owner, and property type are critical to any office. MLS format reports printed in order of property type, MLS area or zone can be printed in several different forms.

Every company has its own report used to disseminate information on listings to their agents. There are several different formats available in the system. These reports can also be customized for your particular needs. There are a host of other reports including listing activity reports which show the volume and units of listings by agent for a certain time period. The report also shows the present status of each of those listings which may have become a pending or closed sale.

Expiration reports, file labels, and re-list forms are also part of the listing module.

Real-Fusion Management Services

Real-Fusion’s Management Services Module is designed to assist management in the overseeing and management of agents and staff. There are several systems in this module.

The Agent Production system allows management to see the goals and production of an agent by the month for both the listing and selling sides of transactions without printing any reports.

The Agent Grading system lets management rank or grade agents according to importance of management assistance. The lunch and note systems let management set dates for agent lunches and personal notes to promote agent relations. These systems track such items as favorite snack, restaurant, fruit, music, etc. give management suggestions for note content. Mailing addresses also appear on the screen to make addressing envelopes easier.

The Recruiting Module allows the user to track potential recruits for the company. The system keeps track of the present company, production, motivations, next contact date and much more. The files can be accessed by name, next contact date, next note date, birthday and many others.

The Training Schedule defines training topics and dates. Schedules can then be printed.

The Office Scheduler file tracks dates and tasks for the office. Users of the system can send messages and requests to other staff members. Task lists can be brought to the screen by user, date etc.

The Recruiting System keeps a list of possible recruits and all necessary information for the recruitment process. Personal information such as current company, motivation, favorite restaurant, etc. are tracked and displayed in this system. Next contact date, last contact date, birthday, anniversary, and many other items are tracked. The recruiter can then retrieve information by next contact date, next note date, and many others. Recruiting advertising is also a part of this system.

The Goal Setting Module allows the user to set weekly sales goals for individual locations or branches. Reports enable the user to track actual performance verses the goals which were set showing the relationship between them.

The Data Integrity Logs allow the user to keep track of problems with listing and closing files by agent and location or branch. Reports can be printed which list the problems.

Real-Fusion MLS Integration

This module allows the user to download both their information and total MLS data. The system allows you to print market share reports in a variety of ways.

Real-Fusion Referral Management

Real-Fusion’s Referral Module is a comprehensive set of programs designed to manage the referral process. One of the most time consuming processes in the real estate office is keeping track of incoming and outgoing referrals. A great deal of income is lost simply because the company was not aware of referral income. This process is made simple with the Referral Module.

The Referral Module was designed to track both incoming and outgoing referrals. The system is utilizes several master files allowing the user to store information on other referral companies and local employers.

This module also uses the sold/pending file to access important data such as the address of the property a referral purchased, the price, estimated closing date, listing, and selling commissions.

The system allows the tracking of agent assignments. The system also accommodates the entering of both flat amount referral fees and calculated fees. Franchise fees are also calculated automatically and reports can be printed. There a number of reports available with the module. In addition to printing referral logs for both incoming and outgoing referrals, the system will print follow up reminders to be sent other companies regarding the referral your company sent them. Referrals by Agent can also be tracked and reports printed. This module will also interface with accounting systems. PSI has a complete line of accounting systems available. Real-Fusion Rentals

Real-Fusion’s Rental Property Module is specifically designed to track rental properties available and the associated information. This module is very similar to the listing module except it is designed for rental properties. Many of the fields are the same and searches can be done in a variety of ways. The system tracks when properties are going to be available, type of lease required, whether pets are allowed. For coastal areas, boat dock requirements, recreational facilities, etc. are tracked. The system also tracks the present tenant, commissions, rental fees, etc.

Calls for available rental units can be handled fast and efficiently using the many indexes available. Appointments can be set to show rental units. The rental module connects to the pending contract file so commissions and the closing process can be completed without any duplicate entry.

Real-Fusion Sales Management

Real-Fusion’s Sold/Pending Module is a comprehensive set of programs designed to manage the selling process. The foundation for this module is the sold/pending file where the information for each contract and property is stored. This file is customized for your office with the fields and screen format you desire. This file is connected to many other files such as the listing file where information on each of your own listings is stored. The system will track both the sales of your listings as well as all co-broker transactions. The Sold/Pending Module will calculate commissions automatically for each agent.

Agents have their own commission schedule for company list and sale, company list co- broker sale, and co-broker list company sale. NO DOUBLE ENTRY Information in your listing file is automatically transferred to the sold/pending file.

Once information on sale/pending contracts is entered we can then use many other programs. These include the closing system which tracks the closing process, orders inspections, and records requirements for closing.

Franchise fees are also automatically calculated and tracked. You have the option of cutting the franchise fee check on each transaction, a group of transactions, or for the entire month depending on your specific needs.

The system is completely flexible in the ability to make deductions at any level within the process. Who is going to pay for the garage door - The co-broker - The agent. The system will let you deduct the cost where ever you want. The transaction is automatically recalculated and net company dollar adjusted. A “pop up” summary screen will let you know how this deduction affects the overall transaction.

Reports are a very important part of this module. There are a large number of reports in the sold/pending module. Several formats of pending and closed sale transactions are available. There are also a large number of miscellaneous reports which can be printed.

The Agent Activity Report prints a summary of each agent’s production for a specified time period including listings, pending, closed sales, and fallen contracts. The agent summary compares the current year sales production to last year. The agent ranking report will rank your agents in order according to their closed production calculating both volume and units.

All applicable reports will divide volume and credits according to the number of agents participating in the sale.

Net Company Dollar (NCD) is tracked by agent. You can know how much of the NCD each agent in a transaction produces. Agent review reports leave the NCD off to protect this important information.
