Formulas

Safe, Secure, Controlled

Formulas can be the most sensitive information for your business. PFM provides a secure controlled environment for your formulas. PFM tracks components, quantities, instructions, costs, and quality control data for formulas. Revisions to master formulas are traced, simplifying the task of comparing different versions of the same formula.

Designed for Process

The Formula module was designed from the start for process manufacturing. It is not a bill of materials modified to “fit“ the process industry. Formulas can be stored by percentage or quantity. Manufacturing instructions can be inserted anywhere within the formula for printing on the batch worksheet. Each material within a formula may have its own unit of measure for maximum flexibility.

Quality Control

Each formula can have quality control tests assigned. These tests can optionally print at the time you produce the batch worksheets.

Substitutions

From time to time you may need to replace an existing raw material within your formulas. PFM simplifies this process with a ”scan and replace“ function. You may also want to change the formula used in multiple produced goods. With PFM, it’s simple. And the best news is PFM will produce an audit trail for the process.

Line Item Details

PFM allows you to enter as many line items in a formula as needed. Ingredients may be raw materials or intermediates. You can key an acceptable variance level for each line item, leaving PFM to do the hard work of validation at production time.

You can also insert as many comment lines anywhere in the formula.

Budgeting

Budgets may be created for each account for current, historical, and future years. The Budget Worksheet allows you to quickly create new budgets based on information already in the system.

Access Is Secure

PFM allows you to have 60 periods defined. One period is always set as the “active” period. PFM allows you to create transactions in the active period and in future periods. Access to prior periods is available provided the user has the access authority to do this. Periods and years are not closed, so you can easily make adjustments when needed.

Journals

Where required, PFM automatically creates journals to the General Ledger module. Each module produces it’s own journal for your review. General Journals can also be entered directly into the General Ledger Module. Features such as recurring entries and auto reversing entries are standard.

Financial Statements

PFM allows you to create as many financial statement formats as needed. Designs can vary for each format defined.

Inventory / MRP

Proven Inventory Management

Inventory Control supports items such as raw materials, packaging goods, produced goods, intermediates, and distributed goods.

Lot Traceability

PFM can handle lot tracking of any number of inventory items. Materials purchased with a lot number can be tracked from purchase through production and into produced goods for complete lot traceability. Costing information is tracked by lot as well.

Physical Count Processing

PFM provides the ability to count your entire inventory as well as cycle counting. Physical count sheets are produced and optionally print the current on-hand quantities. PFM takes a “snapshot” of your inventory allowing you to continue using PFM while completing your physical counting.

Costing

PFM gives you complete control over costing options. It handles average, standard, LIFO & FIFO costing. PFM also handles fixed and variable costs for up to seven additional types of costs. The Cornerstone of PFM

Production is the cornerstone of PFM. The module allows you to issue batch worksheets, fill tickets, and Quality Control tests all from one easy to use screen.

PFM tracks components, quantities, instructions, costs, and quality control data for production.

Designed for Process

The Production module was designed from the start for process manufacturing. It is not a bill of materials modified to “fit” the process industry. Formulas can be stored by percentage or quantity; weight or volume. Manufacturing instructions can be inserted anywhere within the formula for printing on the batch worksheet.

Each material within a formula may have its own unit of measure for maximum flexibility.

PFM allows you to scale your units of measure. If you want to present a component in 50 lb bags, pounds, and grams, you have the ability to do so.

Batch Worksheets

PFM provides you with a number of pre-formatted batch worksheets. These include presentation of both mass and volume, running scale weight, and multiple units of measure for any component. Custom formats can be developed to meet your needs.

Quality Control

Each formula can have quality control tests assigned. These tests can optionally print at the time you produce the batch worksheets. The results can also feed directly to the Certificate of Analysis Reports.

The Way You Manufacture

PFM will accommodate your way of manufacturing. If you batch a product, store it in bulk, and fill it as needed, PFM provides for this requirements. If you batch and fill to multiple package sizes as one process, PFM call handle it. From time to time you may need to produce a product using an alternate unit of measure. PFM allows you to define alternate units of measure for items and use these alternates in the production process.

Purchasing is linked to many other modules in PFM. Purchasing can automatically print Quality Control test forms for incoming product. This product can optionally be quarantined until released through the Quality Control module. Lot traceability is a requirement for many businesses. Lot numbers can be assigned at the time the product is received in. PFM will track this lot through production and sales. Once the purchase order is closed, it becomes available to the Accounts Payable module. The user simply accesses the purchase order for the selected vendor and PFM automatically completes all other required information.

Access to Historical Information a Plus

Well, with PFM you can look at the customers purchase history with the click of a button. PFM allows you to review up to five years of history, and search by a number of criteria; order number, invoice number, product, etc. No more going to a file to dig out the invoices for the customer!

Credit information is also available to the user at sales order entry time. You can view the customers current open receivables as well as the average days to pay. This is very helpful in knowing whether or not the order may require management approval before shipping.

Sales Commissions

PFM provides you with the comprehensive sales commissions information. Commissions can be defined by salesrep, by item, by customer class. If you have a special requirement to generate sales commissions, the technical staff at Data Management will be happy to address your needs.

Container Accounting

PFM gives you the ability to track containers you have shipped to customers. This function can also be used for equipment you may have at a customers site.

If you charge deposits on you containers, PFM will keep track of how many containers a customer has been charged for and how many he has returned. No more separate spreadsheet to tract these assets!
