IWS (Integrated Warehouse System) is Windows based computer software designed to improve shipping through-put and quality by reducing manual interaction with computer programs. It uses a barcode scanner for different operations to improve speed and reduce errors.

  • Updates Everest sales order and invoice with shipment tracking data.
  • Prepares e-mail notification for the customer and transmits the note to the customer with the invoice attached.
  • For international shipments, prepares CBP forms 7501, 7523, and 7533.

Workflow

  1. Find sales orders to pack. IWS pulls pending orders from Everest.
  2. Open a sales order. IWS lists the items to be packed. It highlights the first item in large font, making it easier for the packer to read from a distance. The item code, description and quantity to be packed are displayed. The packer may choose to pack a different item without upsetting the program.
  3. Check if sufficient stock is on hand to fill this order. IWS will check inventory in Everest.
  4. Generate manufacturing orders. If insufficient stock exists to fill the order, generate manufacturing orders, or purchase orders to create sufficient stock for the order.
  5. Check for export codes. IWS will check each item for country of origin and tariff code data. If data is missing, the user will be prompted to enter the data. Entered data will be stored in the item master.
  6. Pick and pack. Pick items and pack in shipping container(s). The packer may scan a barcoded container, for package tracking purposes. The packer scans each item prior to placing it in the shipping container. The packer will receive an alert message if an item is scanned that does not belong to the order, or if an item is scanned that would result in excessive quantity. Once the packer indicates that packing is completed, IWS checks for sufficient quantity of each item. If insufficient quantity is detected, the packer will receive an alert message.
  7. Generate invoice. The sales order is updated with shipped quantities and the order is converted to an invoice.
  8. Print invoice and packing slip. The invoice is printed for inclusion in the shipment. A PDF copy of the invoice is prepared and stored in the document repository. This behavior may be configured using the setup dialogue. If requested, a packing slip is printed. In the case of a multiple carton shipment, item data on the packing slip is grouped by carton under a carton code header.
  9. Determine shipping method. The shipping method is read from the sales order. IWS can ship via USPS, and Canpar. UPS, FedEx, and DHL are in development.
  10. Weigh cartons(s). The shipper places the carton on the weigh scale and scans the carton code. IWS reads the weight from the weigh scale and stores the weight in the package table.
  11. Read destination data. The name, address, and phone number are read from the customer record associated with the order ship-to address.
  12. Request shipping label. IWS transmits a request for a shipping label to the requested carrier. Destination information, package dimensions, and package weight are transmitted to the carrier.
  13. Print shipping label. The shipping label returned from the carrier is automatically printed. Carrier tracking data is recorded in the sales invoice in Everest.
  14. Update shipment tracking data. The Everest sales order and the Everest invoice is updated with shipment tracking data and actual shipping cost.
  15. Transmit notification to customer. An e-mail note is prepared with shipping detail, the PDF invoice is attached to the note, and the note is sent to the customer.
  16. Queue invoice data for international shipping manifest. For international shipments, the invoice data is stored in a queue.
  17. Repeat. The next order is presented for packing.
